Tracking what sold and who bought it
What sold, who took it home, and what it brought in.
What this tab is
Sales is a reading of your catalogue, not a second place to keep records. Every figure on it comes from the paintings you have marked Sold on the Paintings tab, so there is nothing here to fill in and nothing that can fall out of step with the catalogue. Everything you see is a way back to the painting it came from - click any row and that painting opens.
Nothing on this tab changes a painting. To record or correct a sale, open the piece on the Paintings tab and set it under Availability.
The takings
The four figures at the top are the state of the year at a glance: how many pieces have sold, what they brought in, the average sale, and how many are still for sale. Under them is what the unsold work is being asked for - not money you have, but the other half of the picture.
Takings and the average count only the sales you have written a price against. If some are missing one, the tab says so and how many, rather than quietly totalling them as nothing - a total that looks complete when it isn't is worse than no total. Both figures read as "-" until at least one sale has a price.
Where they sold, and when
Sales are grouped by channel - direct, gallery, show, online - and by year, each with a count and a total. Pieces with no channel set are grouped as well rather than left out, so you can see how much is unrecorded.
The year comes from whatever you typed in Sale date. "August 2026", "2026-08-14", and a bare "2026" are all understood. Anything that can't be read as a date is grouped under "No date" and sorted to the bottom of the list rather than guessed at.
Buyers
Every buyer you have named, with how many pieces they have taken and what they came to, biggest first. Click one and the list below narrows to just their paintings; click it again, or press "Show all", to go back.
A name typed two ways counts as one person - "Jane Rowe" one time and "jane rowe" the next are the same collector. Sales with the buyer left blank are gathered under "Buyer not named", which is worth watching: it is usually a sale you meant to finish writing down.
The sold list
Every sold piece, sorted by newest sale, by highest price, or A-Z. Each row gives the buyer, the sale date, the channel, and - when the piece sold for something other than the asking price - how far under or over it went.
A sale with no price shows "No price" in red instead of a figure, so an unfinished record looks unfinished rather than looking like a sale of nothing.
This tab replaces the Sales view that used to sit inside the Paintings tab. The list of sold pieces is still here; the totals, channels, years and buyers are what it grew into.
